LOCATION: JIS, Kingston

DESCRIPTION: To provide administrative support to the department assigned and assist with inter and intra departmental communications; Produce documents as directed using a personal computer, printer and standard office software, including word processor, spreadsheets and presentational graphics; Act as recording secretary at meetings as required by Manager; Coordinate and prepare monthly and quarterly reports from departments across the agency; Maintain departmental administrative filing system and keep filing up to date; Prepare regular and standard documents for approval according to timing and specific needs; Assist the Manager with the timely collection of performance appraisals from units within the department; Be an excellent ambassador for the department, especially when dealing with customer and their representatives; Carry out other duties and responsibilities, appropriate to this post, as may be required by the JIS from time to time

QUALIFICATIONS: Diploma from a recognized tertiary institution; Formal keyboard or typing qualification from a recognized institution; Knowledge and understanding of office filing and retrieval systems; Understanding and working knowledge of Microsoft Office including Word, Excel, PowerPoint, Microsoft Fax and Outlook Express; Able to carry out housekeeping on personal computers such as making security backups and running anti-virus programs to scan, detect and clean drives; Good and pleasing telephone manner; At least two years of secretarial or clerical experience in a fast paced office environment
